MEETING MINUTES - JANUARY 8, 2008

OPENING PRAYER - Tamara opened the meeting with a prayer at 7:08 p.m.

 

APPROVAL OF MINUTES - The November minutes were approved as written. There wasn’t a meeting in December.

   

TREASURER’S REPORT - Jeanne reported that the Market Day profit was $1205. The Christmas Store profit has not yet been determined. The expenses incurred since the last meeting were the Eighth Grade t-shirts ($334), Publishing Center ($130) and Santa visit ($135).

 

ORGANIZATIONAL REPORTS

 

Bylaws Review Committee - Karen Stevenson reported that the committee met again on December 3. As a result of that meeting, Mary Beth Armstrong and Karen met with Ms. Fischesser on December 13. Their next committee meeting is scheduled for January 21.

 

Market Day - No report.

 

OLD BUSINESS

 

Christmas Shop - April Vogt was unable to attend. Based on the information Jeanne Fisher has already received, we had $3100 in income and $1875 in expenses, leaving us a profit of $1225. We are waiting for final receipts/invoices from April.

 

Visit with Santa - Alison O’Neill reported that the visit went well. This year the children visited Santa in the Community Room instead of Santa going to the classrooms. Next year, PTO may want to consider having Santa visit only the kindergarten through fourth grade classrooms.

 

Christmas gifts for teachers/staff - PTO received many THANK YOU cards from teachers and staff for the great gift baskets. Thank you to the committee who made all the goodies and assembled the baskets.

 

Pancake Breakfast - This event is on Sunday, January 27 after the masses. Katie Leary could still use more volunteers. Pre-sale tickets will be sold after masses the weekend of 1/12-1/13 and 1-19-1/20. Pre-sale prices are: under age 4 - free; $5 per person with a maximum household cost of $20. The day of sale the per person cost increases to $6 with a household maximum of $24. Yvonne France is working on public relations/marketing for this event.

 

Progressive Dinner - No updates to report.

 

T-shirts to Eighth Graders - Santa passed out these t-shirts on the last day of school in December. Thanks to the volunteers that worked on this committee.

 

T-shirts for First Graders - The PTO membership decided that we will not provide t-shirts to the current first graders. We will provide t-shirts to incoming kindergartners next school year as part of their orientation.

 

 Eighth grade t-shirts - It was discussed that we will change the process for the eighth grade t-shirts. The current seventh grade class will design their “eighth grade” t-shirt now and receive it the last day of seventh grade, possibly as part of the “moving up” ceremony. The PTO membership approved allocating the money in the current budget for these shirts.

 

COSI - The Launch Into Space program will be presented to OLSH students on April 30. Per Alison O’Neill, if we want to offer a program next year, we need to reserve it now. Mrs. Pelzel will follow up with the teachers on their suggestions for additional COSI programs.

 

NEW BUSINESS

 

4th Annual Variety Show - Tamara Anderson will chair this event. The show will take place on Sunday, March 16 at 6:30 p.m. Auditions will take place on February 19 and 21. Tamara needs someone to chair the decorations committee.

 

BUSINESS PROCESS IMPROVEMENT

 

Putnam Account - The money in this account was originally designated for the Sadie Patterson award. Since this expense is currently being paid from the PTO annual budget, it was decided that the funds in the Putnam account will now be designated as “PTO emergency funds”.

 

PTO Goal Setting - We began our analysis of the expense items in the budget. It was suggested that we support those items that “support the students, teachers and the school”. It was suggested that we:

 

             . discontinue providing cookies/punch for the open house (we now have the pancake breakfast)

             . provide coffee and juice only at the end of year parent breakfast

             . review the use of the Publishing Center

             . eliminate the sound system expense since this has already been paid

             . eliminate support of the festival major award and grocery booths

             . add a line item for public relations expenses

             . look at holding a raffle at open house for a free registration fee for a new OLSH family

 

We will continue our discussion at the next meeting.

 

ANNOUNCEMENTS

 

We received a Thank You from Mike and Debbie Stroh for PTO’s festival donation.

 

Our next PTO meeting is Tuesday, February 12. Please join us! Child care services will be available.
